First of all, if you have not read and implemented the Security and Protection,  http://medistatworld.com/index.php?topic=11.0, Please do so now before going any further. After doing that, you are ready to come back here to set up your medical files.

Now that you have taken care of the security instructions, you will soon see how you can defeat the "hackers" and thieves by the use of the programs you now have. The following instructions will be step by step, so you may want to print them out. Allright, lets get started.

1. Click the Gallery button on the menu bar. You should see a large bold Gallery title at the top of the main gallery page.

2. In the upper right hand corner you will see the [My Gallery] link. Click the link and it should take you to your screen. On this screen you should see your user name in bold at the top.

3. In the middle of your Admin page you should see Gallery Admin Panel with the links, Add Category, and Settings. Click the link "Add Category".

4. You should now see the Add Category screen. Where it says Title, type: Personal Medical Files. Ignore the Parent Category for now. For the Description you should put something like this: Medical History, Insurance, Legal Papers, Identification, Diagnosis, Test Results.

5. For Gallery Icon URL, Copy and paste this address:    http://medistatworld.com/gallery/catimgs/6.gif

6 Ignore the Upload Gallery Icon and click on the Add Category button. This will take you back to the Gallery Admin Panel.

7. Now, click the link that says Settings. The settings screen will allow you to make the kind of file you need. The gallery title is Personal Medical Files. Now, in order to insure the privacy of your files, go to your Roboform Tool bar and mouse over Generate. We suggest you set the parameters to Copy Generated Password To Clipboard. Next, We suggest you set the number of characters to 10 (The higher the setting the more complex the password becomes). You can tick the boxes to create the type of complexity that your password will possess. Next, click on generate and Roboform will automatically create your password. The password is automatically copied to your clipboard, this makes it possible to paste the password to the password box, never having to type the password at all. This is important in case there might be a keylogger buried somewhere on your hard drive, NO TYPING of your passwords EVER! Roboform will automatically remember your password the first time you use it. For More detailed descriptions of your Roboform capabilities, just go to the Roboform website.

8. Next, click the box that says Private Gallery and then Save Settings. In case you want another member of your family to have access to your Files, you can add their user name to the Add private member box and click Add private member button. YOU DO NOT NEED TO ADD YOUR DOCTOR OR HOSPITAL. THIS IS FOR FRIENDS THAT MAY BE HELPING YOU WITH YOUR FILES.

9. Click the link at the bottom that says Return to Gallery, NOT the link under that that says SMF Gallery! Now you should be at your brand new admin screen that should now say Personal Medical Files. Congratulations, You are now ready to add your sub files to organize your information.

10. To make your first sub file, click the link that says Add Category. Now, Name this file: Medical History, Insurance, Legal Papers. Click the parent category Personal Medical Files. In the description put something like this: Medical History, Insurance, Legal Papers. The Gallery Icon URL is: http://medistatworld.com/gallery/catimgs/6.gif
 Then click Add Category. This time you will see a slightly different admin panel. This panel says:  Add Sub Category, Bulk Add Pictures, Add a picture and Return to Gallery.

11. We are going to add 1 more Category. Click the Add Sub Category link. The title is:  Diagnosis and Test Results. The parent Category Should Be: Personal Medical Files, and the Description should be something like this: Diagnosis and Test Results. Again, the Gallery Icon URL is:  http://medistatworld.com/gallery/catimgs/6.gif

Congratulations! You now have a neat and tidy, Password Protected, File system.

Obtaining your medical records.

I have found that asking for copies of all your medical records at once may come with a charge for the copies. I have been able to keep the cost low if I ask for copies of test results a few at a time, either at an appointment or just stopping by once in a while. Some offices where you can get to know the office staff usually will give you copies of the most important papers and test results without being "objectionable". Most of the time you will be asked to sign a HIPAA release form to get your files. Some offices, where everyone seems to be in a "bad mood" will ask why you want the papers. You really don't have to answer that question, the files are yours. Some offices may think you are going to change to another doctor and that puts them in a bad mood right away. I just tell them about the on line medical files program, and they relax right away. Sometimes they even get curious and want to know more. You PM someone by clicking on the small icon at the left side on the bottom. There are three icons, the one on the right is the PM icon. Just click the icon and you will be taken to a screen where you can type your message.

We are constantly looking for things that will make things easier to do. The biggest problem we face is just getting copies of our records. Just remember, they are YOUR files. They may ask you to pay for making copies, but they can't charge just any number they want to. They are limited to what it costs to make the copies (fair price, such as Kinkos or Office Depot), the time in labor, copy paper, postage if mailed. I have received All my copies without charge so far. I make sure to go to the office to make my request, better yet is if you are there for an appointment. Always try to be friendly and smile while asking for any copies. I always do this and even pull my Card asking how much the charge will be.

Just remember, put their minds at ease by telling them that the copies are for a personal file for traveling.

There is another way to do this if you have a cooperative Doctor. Your Doctor can open a free account by registering for the forum and then create a master file with the Doctors name. Once the private file is created, the subfiles start with the patient name and then follow the above instructions to create the 2 subfiles which are "Medical History, insurance, legal papers" and " Diagnosis, Test results,etc.".

This is FREE, and in cases of disaster, such as Katrina, no matter what happens, their records are safe and sound in our secure servers.

If your Doctor would like help doing this, just PM me here and I will help with any request for assistance.

Make sure they know that Google and Microsoft aren't really secure. We, on the other hand have designed our system so that it's totally secure. If anyone comes to us with a warrant for anyone's files, we have no way to give them the information since even WE can't get any information. We have no "Back Doors" and even the medical files in the database are encrypted. They could go through our files on the server and NOT find anything! We feel that HIPAA laws should extend even to anyone with databases of medical files, THEY ARE PRIVATE RECORDS AND SHOULD BE HANDLED IN THAT MATTER.
